This Privacy Policy explains how Managed collects, uses, stores, and shares personal data when you use our website, marketing pages, demos, forms, support channels, and software services. It is written to reflect UK GDPR transparency expectations and should be read alongside our Cookie Policy and, where relevant, our Data Processing Agreement.
This policy applies to visitors, leads, customers, account users, and individuals whose information is processed through Managed in connection with bookings, communication, payments, forms, marketing, and support.

If you are a Managed customer, this policy explains our general privacy position. Where we process customer data on a customer’s behalf, the relevant contract, order form, and Data Processing Agreement will also apply.
Managed is designed for business users and is not directed at children. We do not knowingly market our platform directly to children or intentionally collect their information through our public marketing site.
The information we collect depends on how you interact with Managed. Some information is provided directly by you, some is generated through platform usage, and some may be received from connected services or customer configuration.
This may include your name, business name, email address, phone number, job role, business type, booking priorities, support requests, demo submissions, and any other information you choose to share through forms, email, chat, or calls.
When you use Managed as a customer or authorised user, we may process account details, user permissions, staff information, client records, bookings, forms, notes, communications, payments, subscriptions, retail, and reporting activity.
We collect information such as IP address, browser type, device information, app and page interactions, referral source, event data, diagnostics, and approximate location information derived from device or network signals.
If you contact us or use communication tools connected to Managed, we may process message content, call metadata, notes, transcripts, support history, and response activity in order to operate and improve those services.
We may receive information from payment providers, analytics tools, advertising platforms, communications providers, marketplace tools, and integrations your organisation chooses to connect.
Depending on how a customer configures forms, treatment records, consent flows, or aftercare workflows, Managed may process information that requires additional care. Customers are responsible for deciding what they collect; Managed applies platform controls to protect that information.
We only use personal data where we have a valid reason to do so. The precise lawful basis depends on the processing activity, but our main grounds are contract, legitimate interests, consent where required, and legal obligations.
We use personal data to create accounts, manage bookings, support communication tools, run hosted websites, process payments, provide reports, and operate the workflows customers expect from Managed.
We use data to onboard customers, respond to enquiries, provide support, send service notices, manage subscriptions, detect misuse, and maintain the security and reliability of our services.
We analyse service usage, diagnostics, conversion paths, drop-off points, and feature adoption to improve user experience, product quality, and operational performance.

Managed does not sell personal data. We may share information only where it is necessary to run the service, meet legal obligations, or support customer-configured workflows.
We may share information with hosting providers, analytics providers, payment processors, communications tools, customer-selected integrations, professional advisers, and other service providers acting under contract and appropriate confidentiality obligations.
Where personal data is transferred outside the UK, we use appropriate safeguards such as adequacy decisions, contractual transfer clauses, or equivalent protection measures suitable for the transfer.
We keep personal data only for as long as necessary for the purpose it was collected, to meet contractual and legal obligations, to resolve disputes, and to maintain reasonable security and audit records.
